We are seeking a part-time motivated optometrist to provide exceptional patient care. The ideal candidate will be comfortable with preoperative and postoperative LASIK and PRK exams, residency equivalent training will be provided if needed. This position will have a great deal of autonomy while also working closely with the refractive surgeon. This position has tremendous growth opportunity, potentially evolving into a full-time position with even management responsibilities.

Ophthalmic Technician

We are looking for experienced Ophthalmic Technicians preferably who are either already familiar with operations of excimer and femtosecond lasers or those that have an interest in allowing us to certify them on these Lasers at our center.

  • Provides outstanding pre-operative and post-operative care to patients
  • Refractometry and lensometry
  • Ability to operate ophthalmic diagnostic equipment including Pentacam, Corneal Topographer, etc.
  • Ability to operate and maintain Excimer Laser, Femtosecond Laser, and Microkeratome
  • Applies drops to anesthetize, dilate, or medicate eyes
  • Prepares patients for treatment and assists ophthalmologists in LASIK surgery
  • Counsels patients by providing information regarding treatment, use of drops and drugs
  • Ensures confidentiality by completing and safeguarding medical records

Receptionist

POSITION: Receptionist
DEPARTMENT: Front Office
REPORTS TO: Front Office Supervisor/ Practice Administrator
JOB SUMMARY: This individual is responsible for answering the telephone in a courteous and professional manner, directing calls to appropriate personnel, scheduling appointments, sending recalls, and making appointment reminder calls.

EDUCATION AND EXPERIENCE:

1. High school diploma or equivalent.
2. Two years minimum experience in customer service or displayed skills.
3. Bilingual a plus.

ESSENTIAL SKILLS AND ABILITIES:

1. Excellent customer service and communication skills.
2. Accurate data entry.
3. Ability to work as a team member.
4. Management of multiple tasks simultaneously.
5. Motivation to succeed.
6. Strong organization with attention to detail.
7. Empathetic personality with concern and respect for patients’ needs.
8. Composure under pressure.

RESPONSIBILITIES:

  • 1. Patient Check-In
    • a. Checks patients in, greeting everyone in a pleasant and professional manner.
    • b. Tracks patients in the reception area and communicate with them, as needed.
    • c. Evaluates chart data to verify all information has been received, completed, and signatures obtained.
    • d. Photocopies patient’s insurance card and identification
    • e. Ensures that proper authorization or referral is collected from the patient.
    • f. Assists patients in obtaining authorization or referrals that have not been received by the practice.
    • g. Enters all new patient demographic information into the computer, as well as relevant changes.
    • h. Places charts in queue for specific physician or technician.
    • i. Marks arrival time of patients in office and make sure that patients are seen on time.
    • j. Schedules, reschedules, and cancels appointments as necessary.
    • k. Files reports and charts.
    • l. Updates patient recalls as necessary.
  • 2. Telephones and Greeting
    • a. Answers telephone calls promptly (three rings).
    • b. Addresses the caller’s concern.
    • c. Directs all calls to appropriate personnel.
    • d. Identifies emergency calls and schedules appropriately.
    • e. Places telephone calls to new patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment.
    • f. Places telephone calls to no-show appointments; reschedules as needed.
    • g. Keeps an active cancellation list and monitors compliance and patient retention.
    • h. Keeps an active recall list and calls patients to ensure proper compliance and care
  • 3. Check Out
    • a. Presents and collects fees, posting charges and payments, making next appointment.
    • b. Arranges for specific appointment for follow up care, referral, etc.
    • c. Posts patient checks that come in the mail.
    • d. Notes and monitors accounts that have balances due.
    • e. Stocks and keeps reception area, waiting room, and patient restroom clean.
  • 4. Financial Responsibilities
    • a. Obtains proper insurance information and updates patient file.
    • b. Monitors the postage meter and enters postage when needed.
    • c. Contacts repair service when copier is in need of servicing.
    • d. Provides fee schedules and insurance information to patients.
    • f. Ensures that all collections are documented and paperwork balances.
  • 5. Filing Duties
    • a. Files all patient charts, patient information, referral letters, and any other patient-related material.
    • b. Pulls charts for following day; review charts for accuracy and order.
    • c. Pulls charts for insurance review by request.
    • d. Prepares new patient charts and types patient chart labels.
    • e. Processes the fee tickets for the following day’s patients and places them in the patients’ charts, as required.
    • f. Copies forms, articles, etc
  • 6. Administration
    • a. In conjunction with the Optometrist and under the direction of the same, orders contact lens trials as well as contact lens supply for patients.
    • b. Using the ePrescribe system, orders medications as needed.
    • c. Manages records including the release of medical records upon receiving authorization to do so.

Refractive Surgery Coordinator

POSITION: Refractive Surgery Coordinator
DEPARTMENT: Front Office
REPORTS TO: Practice Administrator

JOB SUMMARY: This individual is responsible for scheduling all refractive surgery patients, keeping the doctor on time, walking patients through the process, entering all necessary information into the computer, following-up on any patients that did not schedule after their initial consultation, addressing patients’ concerns and being the liaison with Avant LASIK Spa.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent. College a plus.
  • Two years minimum experience in customer service or displayed skills. Medical knowledge a plus.

ESSENTIAL SKILLS AND ABILITIES:

  • Excellent customer service and communication skills.
  • Accurate data entry.
  • Ability to work as a team member.
  • Management of multiple tasks simultaneously.

RESPONSIBILITIES:

  • 1. Surgery Scheduler
    • a. Maintain working and professional relationship with each center where the doctor practices.
    • b. Schedule patients as needed with each center.
    • c. Follow-up and confirm times as soon as possible with each center.
    • d. Call and confirm arrival times with patients at least 2 days prior to procedure
    • e. Ensure that all payments have been received and there is no outstanding balance.
    • f. Assists patients in obtaining authorization or referrals that have not been received by the practice.
    • g. Enters any changes to the patients’ status into the computer.
    • h. Keep meticulous records as to when and where the surgery is to take place
    • i. Give the doctor a completed list of all pending surgeries the Friday of the week prior
    • j. Schedules, reschedules, and cancels appointments as necessary.
    • k. Confirms with each center that paperwork has been received prior to the day of surgery
    • l. Updates patient recalls as necessary.
    • m. Places telephone calls to no-show appointments; reschedules as needed.
    • n. Keeps an active cancellation list. Follow-up on any and all cancellations in due course
    • o. Keeps an active recall list and calls patients to reschedule.
  • 2. Refractive Coordinator
    • a. Meet and greet all refractive consults when possible
    • b. Keep the doctor on time with consults
    • c. Ensure patients have all the information they need
    • d. Monitor wait times so no patient is left waiting too long
    • e. Offer waiting patients refreshments
    • f. Ensure refractive center has all necessary paperwork at least 5 days before surgery
    • g. Call patients to follow-up before and after surgery to ensure continuity of care
    • h. Ensure patients have all medicines and instructions before they leave
  • 3. Administration
    • a. Fill in at the front desk when needed
    • b. Using the ePrescribe system, order medications as needed.
    • c. Keep all paperwork up to date and available; make copies as needed
